We are actively recruiting for an Event Administrator to help both on our events around the country but mainly in our Kirmington office so you must be based within easy reach of that location.
The job involves two distinct roles, the main role will involve administering the day to day needs of the business by answering the phone and dealing with customer enquiries, general admin tasks as well as database entry of customer orders, etc. This requires excellent attention to detail on data entry as well as a friendly and helpful demeanour when corresponding with customers. Based in the office for the initial training period this role operates 9-5 Mon-Fri but once you are familiar enough with the role this can be done from home the majority of the time providing you have the space for a laptop and printer in a quiet environment as you will be answering calls. You will however also be responsible for collating event paperwork packs which will require being in the office at least once a week and those days will vary depending on the schedule of events on the calendar. You would also be expected to produce social media posts so experience with programs like Canva or Photoshop would be an advantage.
This job also involves occasionally travelling to circuits across the UK (mainland Europe as well sometimes) and administering the sign on process for customers on the day so applicants must have excellent customer service skills, be proficient in Excel and have a high degree of computer literacy and must be able to troubleshoot simple IT problems themselves. Most events will involve being on site for 10 hours in total 07:00-17:00 (3 hours longer if here is an evening event as well) with an intense sign on period first thing as customers arrive followed by dealing with any late arrivals/additions and general enquiries throughout the rest of the day as well as helping with office duties remotely. The majority of venues will require travelling down and staying locally the night before as well as travel afterwards, either to the next event or returning home. Travelling to circuits will vary over the year based on the requirements of the calendar but should be required no more than a few times per month, however a flexible work schedule is required as you may be needed to travel to events on any day of the week (with notice so you can plan around it). You may need to travel to a venue using your own vehicle on occasion which is why you must be within easy travel distance of the office (as a central point to Cadwell Park & Blyton Park which are two circuits we use the most) and for meeting up with other staff to travel further distances together.
Our event schedule is somewhat seasonal and varies from week to week with up to 230 events a year, sometimes with up to 3 events on the same day so applicants must be prepared to have a very flexible work schedule which will involve potentially working any day of the week (including frequent weekends) and possibly travelling from one event to another for several days in a row as the schedule demands, the schedule itself however will be arranged out far in advance so you can plan around it. Events Mar-Oct tend to be focussed on weekdays with some weekend dates whereas Nov-Feb events tend to be focussed on the weekends. The Event Administrator will work with other staff to cover the schedule between them with 40 working hours per week averaged out over the month so that if an individual has a very busy period with a lot of events they can have the appropriate time off in return or take it as an additional payment.
Candidates must be reliable, organised, confident, adaptable, able to think on their feet and must be able to keep calm under pressure as well as capable of working under their own supervision with excellent attention to detail.

Responsibilities include:
- Answering phone calls and emails responding to enquiries from customers, as well as general enquiries.

- Dealing with customers face to face.
Own transport is essential.
A current Passport is not required but you must be able to get one as we do also run a small number of events in other European countries.
